What delivery costs, what happens if a crate arrives damaged, and what can go back — stated plainly, before you order.

Everything you need to know before your equipment ships — clear and upfront, so there are no surprises on a $2,700–$10,200 order.

How we ship

All equipment ships crated via LTL freight on national carriers. It moves on a pallet in the back of a semi-trailer, not in a parcel van — which is why how it arrives matters, and why it is worth reading this before you order.

What delivery costs

One price, published, with the liftgate included. No weight tiers and nothing added at checkout.

  • $349 — delivered to your door anywhere in the eastern, central and southern US.
  • $499 — Arizona, California, Colorado, Idaho, Montana, Nevada, New Mexico, Oregon, Utah, Washington and Wyoming.

That is the whole of it. It does not change with the weight of your order, and a two-crate complete system costs the same to deliver as a single condenser.

For what it is worth: on most orders that price is less than the freight actually costs us, and considerably less on the longer lanes. We would rather publish one honest number than quote you a low one and add to it at checkout.

What the liftgate means, and why it is included

A liftgate is a powered platform on the back of the truck that lowers your crate to the ground. Without one, the driver brings the pallet to the tail of the trailer and getting it down from there is your problem — several hundred pounds, four feet up.

Most freight retailers charge extra for it, or quote a cheaper “curbside” price and let you discover the difference on the day. We include it on every delivery because for a residential address it is not really optional, and because a crate dropped by two people without equipment is how backs get hurt and condensers get destroyed.

Dispatch & delivery timeline

Orders typically ship within 3–7 business days of being processed. You will receive a tracking number as soon as your order leaves us, and the carrier will then call to schedule your delivery window. That appointment, not the ship date, is when your equipment arrives — transit time depends on the carrier's network and your distance from Fort Myers, and we do not control either. Answer the scheduling call when it comes: an unanswered call is the most common cause of a delayed delivery.

Receiving your shipment

Freight is not like a parcel. What you do in the few minutes the truck is at your address determines whether a damage claim succeeds. Our guide to receiving a freight delivery walks through the whole process — what the driver will and will not do, and exactly what to inspect before you sign.

  1. The carrier will call to schedule delivery — answer the call so your unit isn't delayed.
  2. When the truck arrives, inspect the unit before signing anything.
  3. Note any dents, damage, or punctures on the delivery receipt (BOL) — specifically, not just "damaged".
  4. Take photos and video of the unit and packaging before it comes off the truck if you can.
  5. Email photos to sales@hvacsupplypro.com within 24 hours if there's any damage.
  6. Do not sign a clean BOL if the unit is visibly damaged — note it or refuse delivery.

Freight damage

If damage is noted on the BOL at delivery, we'll file the freight claim and send a replacement. If damage is not noted on the delivery receipt, we cannot guarantee a replacement — which is why inspecting before you sign matters.

What the carrier's liability actually covers

Worth understanding before your equipment ships. A carrier's standard liability is limited by weight, not by what your equipment is worth — so on a damaged system, the payout can work out to a fraction of what you paid for it. That is how LTL freight works across the industry; it is not particular to the carriers we use.

Which is exactly why the inspection steps above matter as much as they do. Damage noted on the delivery receipt is recoverable. Damage found after you have signed a clean receipt usually is not — whatever the equipment was worth. Two minutes at the tail of the truck is the best protection available to you, and it costs nothing.

Returns & restocking

  • 30-day return window on unopened, unused equipment in its original packaging.
  • 20% restocking fee applies to all returns.
  • Customer is responsible for return freight costs.
  • No returns on installed equipment.
  • Freight damage cases are handled as replacements, not refunds.

Because installed equipment cannot be returned, confirm sizing and model compatibility before you order. Send us the model numbers and we'll check that a pair is a matched, AHRI-certified combination — or use the AHRI match checker to confirm a pairing yourself.

Where we ship

We ship within the continental United States only. We do not currently ship to Alaska, Hawaii, Puerto Rico, or internationally.

Delivery pricing is reviewed periodically; the price shown at checkout is the one that applies to your order.
