Frequently asked questions

Buying equipment direct, and what that actually involves.

Last reviewed 10 September 2026

Most of what people ask us falls into six areas. If your question isn't here, call (239) 266-9766 or send us the model numbers — you'll get someone who has installed this equipment.

Buying and installing

Do I have to use a licensed installer?

Yes. Federal law requires EPA Section 608 certification to open, connect or handle a refrigerant circuit, and every system we sell has one. Beyond the law, improper installation can void your manufacturer warranty. This is not a DIY purchase.

Do you install?

No. We supply equipment only. You hire your own licensed contractor, which is the entire point — you see what the box costs and what the labour costs, separately, instead of one bundled number. Our guide on how to find an installer covers what to ask and what labour-only work should cost.

Will a contractor install equipment they didn't sell me?

Many will, some won't. A shop that supplies the equipment controls what arrives and prices the job around that margin; when you supply it they lose both. It's a legitimate business position rather than a scam. Smaller independent shops take labour-only work regularly. Ask for "labour-only installation" by name in the first sentence and you'll find out quickly.

Can you tell me what size system I need?

No, and be wary of anyone who will from a web form. Correct sizing comes from a Manual J load calculation done by someone who has seen the property — square footage, insulation, window area, orientation, duct condition. Buying the wrong tonnage is the most expensive mistake in this process and it can't be undone once it's installed.

What we will do is check compatibility. Put two model numbers into our AHRI match checker and it will tell you straight away whether that condenser and air handler are a certified pair — or send them to us and we'll look them up by hand.

Matched systems and warranty

What does “AHRI-matched” mean, and why does it matter?

An outdoor condenser and an indoor air handler are tested together as a combination and issued a certified rating. That rating belongs to the pair, not the condenser — the same outdoor unit rates differently depending on what sits beside it. Manufacturer warranties generally require a certified match, and rebate programmes ask for the AHRI reference number. Our guide to AHRI matching goes into it properly, and our match checker will confirm a specific pairing in seconds.

Is the manufacturer warranty valid if I buy online?

Yes. Equipment carries the applicable manufacturer's limited parts warranty — Trane, RunTru or Everwell. Two things matter: register the equipment within the manufacturer's window, and have it installed by a licensed professional. We facilitate the warranty process; we don't provide a separate warranty of our own. Labour for warranty repairs is between you and your installer. See our warranty page.

I'm only replacing the outdoor unit. Can I keep my existing air handler?

Sometimes. Check the pairing here — enter the condenser you're considering and the air handler you already have, and you'll see whether the combination carries a certified rating. If it doesn't, we'll show you what does. A mismatched pair can cost you the warranty you're trying to protect.

Shipping and delivery

How does it ship?

Condensers, air handlers and complete systems ship crated on pallets by LTL freight. A complete system ships as two separate crates — condenser and air handler — which may arrive on different trucks or different days. Mini-splits ship as two cartons, indoor and outdoor.

Where do you ship?

The continental United States, 48 states, from Fort Myers, Florida. We don't currently ship outside the US.

What does freight cost?

$349, delivered to your door, across the eastern, central and southern US. $499 in Arizona, California, Colorado, Idaho, Montana, Nevada, New Mexico, Oregon, Utah, Washington and Wyoming.

That is one flat price with the liftgate already in it. It does not change with the weight of your order — a two-crate complete system delivers for the same as a single condenser — and nothing is added at checkout.

Do I need a liftgate?

For a home address, almost certainly — which is why it is included rather than sold to you. A liftgate is the powered platform that lowers your crate from the trailer to the ground. Without one, the driver brings the pallet to the tail of the truck and the rest is up to you: three hundred pounds, four feet up. Most freight sellers quote a cheaper curbside price and charge for the liftgate separately. We don't.

The driver still isn't responsible for moving equipment into a garage or side yard — delivery ends where the truck can safely reach.

What if it arrives damaged?

Inspect every crate before you sign. Note any damage on the delivery receipt at the time of delivery, photograph it, and email the photos to sales@hvacsupplypro.com within 24 hours. Damage claims are resolved as replacements rather than refunds. Signing a clean receipt makes a claim very difficult to recover, so this step matters more than any other in the process.

Book your installer before the equipment arrives. Freight lands on your driveway on a pallet. If it sits there for three weeks while you look for someone, you have several hundred pounds of equipment in the yard and no plan.

Returns

Can I return it?

Unopened, unused equipment in its original packaging can go back within 30 days of delivery. A 20% restocking fee applies and return freight is your responsibility. Email or call for a return authorisation first — returns sent without one can't be processed.

What if it's already installed?

Installed equipment can't be returned. Opening a refrigerant circuit requires EPA certification and makes the unit non-returnable, which is why sizing and compatibility need settling before you order rather than after.

Paying

How can I pay?

All major credit and debit cards, plus Shop Pay, Apple Pay and Google Pay. Same price either way — no surcharge for any payment method.

Do you offer financing?

Not our own. Shop Pay Installments appears at checkout and splits an order into scheduled payments, with the plan and any interest shown before you commit. It's offered by Shopify's payment provider, not by us: we never see your financial details, we don't run credit checks, and we're not a lender. If it doesn't appear for your order, the amount or the eligibility check is why. Full detail on our financing and payment page.

Is there still a federal tax credit?

No. The Section 25C Energy Efficient Home Improvement Credit ended for anything placed in service after 31 December 2025. Utility and state rebate programmes are where the remaining money is, and they ask for the AHRI reference number — which every complete system here publishes, and which our match checker will give you for any pairing we carry. Our 2026 incentives guide has the detail and the sources.

Refrigerant

What refrigerant does this equipment use?

All central equipment — condensers, air handlers and complete systems — runs on R-454B. Our ductless mini-splits run on R-32. Both are current low-GWP refrigerants, not the outgoing R-410A.

Does that affect installation?

Your installer should be current on A2L refrigerant handling. Any competent shop will be, and it's a fair question to ask when you're booking. Our R-454B vs R-410A guide explains what changed and why.

Still stuck?

We can't size your system and we won't recommend a specific contractor in your market — we don't know who's good there and we're not going to vouch for someone we've never worked with.

What we will do is talk through compatibility, matched pairings, freight, and whether a quote you've been given makes sense. And we'll tell you honestly if buying direct isn't the right move for your situation.
